SALARY RANGE: $20.37, Benefits per Union Contract

QUALIFICATIONS: High school education. A minimum of 3 years previous experience with secretarial office functions. Proficient with Microsoft Office Outlook, Excel, Word, Quick Books, and HIRIS/Kronos Software. Proven organization skills and strong reading comprehension. Experience creating requisitions, budgeting and payroll.

Student Activities
- Oversee Student Activity accounts. Ensure compliance with established Board (POPPS) policy.
- Senior class accounts information released to the Activity Coordinator and class officers only.
- Each club/activity/organization identified separately when depositing or writing checks. Maintain an audit trail for concise reporting of each transaction.
- Post all activity as soon as the transaction occurs, but always within one week of the transaction date.
- Verify deposited amounts and ensure availability of funds when withdrawals occur.
- Open new accounts, transfer funds between existing accounts.
- Reconcile each account within Student Activities on a regular basis.
- Respond to inquiries from account holders. Activity Reps/Faculty advisors must turn in all funds daily, especially during events, open houses, and school registration, to safeguard funds.
- Prepare, handle, and answer all questions for out-of-district audits and inquiries from the C.O. thereof.
- Operating Funds
- Project Funds needed for each fiscal year. Verify staff member in the respective position (budget line-item), whether current or moved, retired as an FTE or part-time position, hourly or salaried.
- Process contracts for office machines; order supplies for the building and for functions the Principal holds, as well as for SPED, Nurses, Security.
- Assist Academy secretaries with orders when problems arise. Meet with vendors and staff about classroom needs. Obtain quotes. Request new vendor numbers.
- Research problems. Process and verify mileage reimbursements, Payment Request Forms, Reimbursements, Special Payroll, and Purchase Orders for Operating and Federal Funds.
- Streamline and approve orders processed via vendor. Respond to inquiries by head teachers regarding their accounts. Maintain all POs for the location (increase, decrease, transfer or closing). Manage subscriptions and memberships for all APs.
- Back-up to Principal's Administrative Assistant.
- Manage radios for mission-essential personnel. Set up appointments with Police/FD as needed for maintenance.
- Comply with Federal Accounting rules/regulations and procedures.
