Overview
Job Summary Assist store personnel in maintaining accurate, on-time reports and records relative to the service department’s operations, thus resulting in internal and external customer satisfaction and profitability. Additional areas of support include: answering phones, opening/closing invoices and daily bank deposits. Supplementary support of the Parts department on an as needed basis.
Responsibilities- Daily maintenance of time cards, warranty claims, and credits
- Opens work orders as directed by the service manager and maintain open work orders using equipment, hours, technicians, repair work and any other information needed
- Reviews all work orders for accuracy before submitting to the Service Manager for final review
- Directs incoming service related inquiries and scheduling requests to the Service Manager
- Help with data entry and customer follow up for Service, Parts, and Sales departments
- Maintains all filing and records for the service department
- Keeps necessary supplies on hand and reorders when needed
- Prepares customer invoices and takes payments when presented to the service office
- Represents Van Wall Equipment with a professional and positive attitude. Strives to protect the dealership image in a positive light while promoting customer loyalty
- Provides supplementary support to the parts department. Inclusive of, but not limited to customer service, stocking, internal transfers, parts look up, and merchandising
- Maintain confidentiality with internal and external information
- Be able to submit, track, and resolve warranty claims
- Possess basic knowledge of accounting practices and financial principles relative to the Service or Parts Departments
- One year or more experience with office coordinating a plus
- Ability to use standard desktop applications such as Microsoft Office, Excel, and Internet Functions
- General understanding of mechanical & technical terms
- Knowledge of office procedures
- Ability to speak effectively one on one and in a group
- Familiar with John Deere and competitive products
- Maintain a positive attitude, be a team player and provide leadership within the store
- Complete all duties as assigned
- High School Diploma or equivalent required
