We are seeking a reliable and organized Mailroom Coordinator to oversee the daily distribution and logistics of our corporate campus. In this role, you will be the central hub for all incoming and outgoing materials, ensuring that everything from standard mail to time‑sensitive lab perishables reaches its destination safely and on time. This is a high‑visibility position that requires a "customer‑first" mindset and the ability to manage multiple priorities in a fast‑paced environment.
Qualifications- Experience:
Previous experience in a mailroom, warehouse, or distribution center environment is highly preferred. - Technical Literacy:
Proficiency with shipping software (e.g., SAP), digital imaging equipment, and Microsoft Office Suite. - Attention to Detail: solid focus on documentation accuracy and the ability to follow strict Standard Operating Procedures (SOPs).
- Physical Requirements:
Ability to stand for extended periods and operate material handling equipment, such as an electric pallet jack. - Professionalism:
Excellent communication skills and the ability to coordinate with internal teams to support product launches and daily operations.
- Distribution Management: Supervise the receipt, sorting, and delivery of mail, raw materials, and third‑party vendor packages across multiple site locations.
- Specialized Logistics: Manage time‑sensitive deliveries of perishable items to laboratories, adhering to all safety and quality protocols.
- Vendor Coordination: Act as the primary point of contact for external couriers and vendors to ensure seamless service and accurate processing of materials.
- Documentation & Compliance: Maintain meticulous records of all incoming/outgoing assets and shipments to support operational efficiency and regulatory requirements.
- Shipping & Receiving: Assist with packing, labeling, and documenting domestic and international shipments, utilizing tracking software to ensure accuracy.
- Equipment Oversight: Ensure all mailroom and document processing equipment (copiers, printers, and franking machines) is functional and supply‑ready.
