JOB TITLE:

Supply Chain Coordinator

DEPARTMENT:

SUMMARY:

This position will supervise third-party warehouse operations related to Dorf Ketal’s business, manage inventory and provide high caliber supply chain support to ensure timely executions of orders.

DUTIES AND RESPONSIBILITIES:
  • Review open orders on a daily basis and ensure that the orders are executed by the warehouse in a timely manner. All delays are to be updated in Oracle with appropriate delay remarks.
  • Participate in department and company meetings as required
  • Monitor warehouse stock levels and Intransit Report to identify if the stock is adequate to meet customer demand
  • Routinely communicate with India planning team for timely inventory replenishment
  • Review Intransit Report and coordinate with warehouse team for timely customs clearance and delivery to warehouse to meet dispatch dates
  • Ensure warehouse does timely ship confirmations and receipts in Oracle
  • Plan in advance for the repacks/relabeling and issue work orders to warehouse
  • Open and complete WIPS for repacks/relabeling activities in Oracle
  • Generate IRs for movement of goods between Dorf Ketal entities
  • Arrange air/sea freight quotes, booking of freight and help provide shipping documents to the receiving party in a timely manner
  • Generate purchase orders to vendors as and when required, follow up on deliveries, and maintain receipts
  • Monthly reconciliation on inventory between Oracle and warehouse inventory report. Correct inventory mismatches by initiating adjustments and providing justification notes.
  • Conduct physical reconciliation of inventory at warehouse once a year and adjust Oracle database
  • Keep track of leased SS totes and coordinate with customers for return of totes for refills; reconcile the leased totes on a periodic basis
  • Initiate certification of expired inventory to make the inventory available for sale
  • Proactively initiate recertification of lots which are nearing its end of shelf life
  • Initiate repacks of damaged drums to make the inventory available for sale
  • Ensure warehouse is strictly following the Pickslip/FIFO method when picking lots for dispatch
  • Ensure optimum use of storage tanks or leased tanks
  • Monitor and control detention/demurrage charges
  • Review and approve warehouse invoices for various services rendered; issue claim notes to warehouse for invoice discrepancies; correct and return to Dorf Ketal accounting department in a timely manner
  • Coordinate with Dorf Ketal accounts to raise claim notes on warehouse for loss of material or any damage to Dorf Ketal goods
  • Provide training on Oracle modules to warehouse staff as well as help them to overcome any Oracle-related operational issues directly or with the help from Dorf Ketal’s Oracle Help team
  • Document and maintain operational procedures (SOPs) and records for existing process or for any new processes being introduced
  • Optimize the warehouse space by consolidating partials, disposal of dead inventory, damaged/unused packing materials, and thereby reducing storage costs
  • Periodic evaluation of the warehouse operator to ensure that the warehouse is meeting the required service levels
  • Keep record of warehouse non-conformances and conduct periodic meetings with warehouse manager/staff to close out the non-conformances
  • Report to upper management on stock levels, issues, etc.
  • Support and assist in implementing and maintaining certified management systems ascribed to DK such as ISO 9001. Identify training needs of personnel. Promote awareness of risks and opportunities associated with their work. Maintain an understanding of the Quality policy and how they personally contribute to meeting DK objectives and goals
  • Support and assist in implementing and maintaining the RCMS program. Identify training needs of personnel. Promote awareness of the RCMS guiding principles and Dorf Ketal's HSSE policy, objectives and goals in addition to how they can contribute to them.
  • Other projects as required.

  • This job has no supervisory responsibilities.
QUALIFICATIONS:

Education:

  • High School diploma or equivalent, required
  • Bachelor’s degree in supply chain or related field, preferred

Experience/

Skills:

  • 5+ years of experience in supply chain, logistics, and/or operations
