Description:
The Admissions Coordinator is responsible for the timely assessment, approval, and coordination of foster care and respite placements for children in care. This position reviews placement referrals, evaluates placement options, and works collaboratively with Case Managers and foster families to ensure appropriate matches that support the safety and well‑being of children. The Admissions Coordinator exercises sound judgment in making placement recommendations and decisions.
In addition, this role maintains ongoing communication with staff across the agency’s residential programs and assesses incoming referrals to determine the most appropriate placement setting.
- Review and assess placement referrals received via email and telephone to determine appropriate child‑family placement matches.
- Coordinate placement needs and opportunities with CPS and other SSCCs to identify suitable placement options for children in care.
- Evaluate referral information and make placement determinations based on the child’s needs and well‑being, consistent with DePelchin’s policies, procedures, and program guidelines.
- Apply professional expertise to evaluate referral information and determine when DePelchin can provide an appropriate placement match, when a match is not feasible, and when additional internal consultation is required.
- Conduct follow‑up assessments on appropriate referrals to determine placement viability and readiness.
- Coordinate placement logistics, including establishing placement times and locations and sending out notifications to appropriate parties.
- Verify and secure funding information for confirmed placements in accordance with agency and program requirements.
- Participate in meetings with foster care staff to review and evaluate potential placements as needed.
- Maintain accurate placement documentation by entering child placement information into the agency’s client database management system in accordance with agency and regulatory standards.
- Facilitate recommended foster care placements and coordinate GRO and RTC placements with the clinical teams.
- Prepare and complete required reports and enter referral submissions as needed.
- Coordinate respite placements and changes for children in DePelchin’s foster care program.
- Respond to inquiries from prospective foster and adoptive homes as needed.
- Participate in Home Study Committee meetings and conduct orientations for verified foster and adoptive families when appropriate.
- Provide guidance to Case Managers regarding placement considerations and foster family resources.
- Participate in the on‑call rotation to support urgent placement needs and program operations.
- Bachelor’s degree from an accredited college or university, preferably in social work or another human services field.
- Two (2) years of documented experience in child welfare services conducting assessments, service planning, or case management duties.
- Experience in psychosocial assessment a plus.
- Knowledge of child welfare practices.
- Knowledge of Texas child welfare regulations, CPS policies, and foster care program requirements.
- Knowledge of placement resources, including foster homes, residential treatment centers (RTC), and general residential operations (GRO).
- Strong assessment and analytical skills to evaluate placement referrals and determine appropriate placement options.
- Ability to exercise sound judgment and make timely placement determinations based on child needs and program capacity.
- Strong organizational and coordination skills to manage multiple placement referrals, deadlines, and urgent placement needs.
- Must have excellent written and oral communication skills.
