Role OverviewWe are seeking a highly organized, professional, and detail‑oriented Sales Lead Qualifier & CRM Assistant to support our CEO, who personally handles the majority of high‑value sales. This role is critical in protecting executive selling time, ensuring only qualified, sales‑ready leads reach the CEO, and maintaining a clean, accurate CRM that drives smarter decisions and higher close rates.
Key Responsibilities- Lead Qualification & Pre‑Sales Support
- Respond promptly to inbound leads from multiple channels
- Conduct initial outreach to assess the relevancy of the leads using defined criteria and summarize findings clearly
- Ensure prospects receive correct pre‑call materials (presentations, pricing ranges, case studies, training overviews)
- Schedule CEO sales calls only with qualified, prepared prospects
- CRM & Pipeline Management (Zoho CRM)
- Maintain accurate and up‑to‑date records in Zoho CRM – log all lead interactions, notes, deal stages, and next steps
- Apply correct lead statuses, tags, and pipeline stages ensuring data accuracy
- Track follow‑ups and reminders to ensure no leads fall through the cracks
- Prepare daily and weekly CRM summaries for the CEO
- Executive Sales Support
- Act as a gatekeeper for the CEO’s sales calendar by filtering unqualified or premature inquiries
- Prepare concise deal briefs prior to CEO calls
- Follow up with prospects after CEO sales calls (recap emails, next steps, contracts, invoices, etc.)
- Coordinate with operations, finance, and fulfillment teams post‑sale
- Support invoicing and payment tracking workflows using Square
- Communication, Systems & Brand Representation
- Represent the Ballancer®Pro brand at a premium level in all client interactions
- Use Google Workspace (Gmail, Google Calendar, Google Drive, Docs, Sheets) daily for scheduling, documentation, and communication
- Maintain discretion and confidentiality with sensitive sales and client information
- Ensure consistent messaging aligned with company positioning, pricing strategy, and compliance standards
- 2+ years of experience in sales support, lead qualification, SDR, or CRM administration
- Hands‑on experience with Zoho CRM
- Experience using Square for invoicing or payments
- Experience working in Google Workspace / G‑Suite
- Strong written and verbal communication skills
- Highly organized, detail‑oriented, and process‑driven
- Comfortable engaging with business owners, executives, medical professionals, and high‑value clients
- Ability to prioritize, follow SOPs, and meet fast response‑time expectations
- Tech‑savvy and confident learning internal systems quickly
- Experience supporting a CEO or founder‑led sales organization
- Background in high‑ticket sales, medical aesthetics, wellness, or luxury brands
- Experience handling event or tradeshow leads
- Familiarity with email campaigns, lead nurturing, or follow‑up sequences
- Experience working in a premium, relationship‑driven sales environment
