The Operations Coordinator for the Early Reach program manages the implementation and maintenance of the e-DECA assessment system, ensuring staff have access, data is entered correctly, and reports are available to guide coaching and instructional practices. Supports coordination of the CLASS assessment process, including scheduling, data tracking, reporting, and helping connect results to coaching and Service Improvement Plans (SIPs). Monitors SIP progress and contributes to CQI activities and other quality improvement efforts.
Works closely with the Early Childhood Development Team and external evaluators to keep systems running smoothly and producing useful, actionable information.
Duties & Responsibilities
Coordinate and support assessment and quality improvement activities: Coordinate and assist with the implementation of core assessment and quality processes, including e-DECA, CLASS, and Service Improvement Plans (SIPs). This includes scheduling, system access, data tracking, and ensuring documentation is complete and aligned with Early REACH goals and compliance expectations. Support the execution of quality improvement initiatives and CQI activities across sites, helping ensure timelines, deliverables, and workflows stay on track.
Assist with quality assurance activities by reviewing implementation fidelity, tracking progress on SIPs, and monitoring outcomes from assessment tools. Identify areas where additional technical assistance, clarification, or process adjustments may be needed. Contribute to CQI planning and follow-up to strengthen program quality across sites.
Maintain accurate data systems and produce clear reports: Maintain organized and reliable systems for collecting, entering, and verifying data related to assessments, coaching, and quality metrics. Generate reports, summaries, and dashboards that highlight key findings, trends, and areas for improvement. Ensure data integrity and provide clear, actionable information to support coaching, planning, and decision-making.
Manage projects and facilitate cross-team coordination: Lead and support internal projects that require collaboration across Early REACH teams. Manage project timelines, documentation, and follow-up to keep efforts moving efficiently. Facilitate communication between coaches, managers, evaluators, and other partners to ensure clarity, alignment, and timely progress.
Support professional development and team activities: Help organize and support professional learning, coaching sessions, and training opportunities for staff and partners. Assist with materials, logistics, and documentation to ensure development activities run smoothly and align with Early REACH’s quality and improvement efforts. Contribute to a culture of continuous improvement, helping ensure program operations, values, and expectations are consistently understood and applied across teams.
Performs other duties as assigned.
Education: Bachelors or better in Education or related field.
Experience: 3 years experience in early childhood program implementation, assessments, or quality initiatives, and expertise with e-DECA or similar assessment tools. Strong project management and organizational skills, excellent relationship‑building and communication abilities. Proficiency with spreadsheets, data systems, and reporting tools is required. Ability to analyze information and draw insightful conclusions to prepare meaningful recommendations for proposed action.
