Description:

Manages the day-to-day operations of a small or medium-sized university program or department. May supervise staff employees, student workers, programs or processes.

Responsibilities
  • Plans and develops procedures for administering a small or medium-sized department or program.
  • Oversees program expenditures and ensures adherence to budget.
  • Provides guidance to subordinate staff and evaluates performance.
  • May prepare or participate in the creation of abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
  • Reviews reports of budgets and activities.
  • Prepares ad hoc reports as needed.
  • May administer grants and grant-related communications, scholarships and other operations.
  • Develops, implements and maintains appropriate policies and procedures.
  • May serve as property custodian for the department.
  • Performs other job-related duties as assigned.

This position works in the Management & Leadership department with the business operations team at the Bauer College of Business. Successful candidates will have the ability to work independently as well as part of a team, work well under pressure, consistently meet deadlines, and manage multiple projects while remaining flexible and positive. This will require exceptional organizational skills and attention to detail.

Further, successful candidates will effectively communicate with all levels of management and fellow employees and be able to manage multiple employer relationships.

The Front Office Manager is responsible for managing the Bauer College of Business Management & Leadership front desk operations to ensure the consistent quality of customer service is provided to all students and visitors in-person and on the phone in accordance with Bauer College of Business standards.

Front Office Manager Responsibilities
  • Oversee office front desk, departmental suites, and work room operations.
  • Revamp office appearance to modern appearances including during holidays.
  • Train, supervise, and evaluate the work of student employees, this includes reviewing resumes and aid in scheduling interviews.
  • Provide training to student employees in details of work.
  • Prepare student employees schedules.
  • Communicate effectively with all personnel and provide them with excellent customer service.
  • Receives, responds and resolves customer inquiries and complaints by conducting thorough research of the situation and providing effective resolutions.
  • Assist in-person visitors and phone by providing general information or informing them of other contacts within the college and/or university that may assist them.
  • Oversee/handle daily mail and distribution in the mailroom and notify appropriate recipients.
  • Ensure work room is fully stocked and well organized.
  • Process office supplies requests - order and purchase.
  • Assist in Department event preparation such as Brown Bag event, etc.
  • Process vouchers for payment.
  • Create requisitions.
  • Process Travel reimbursement and ensure UH travel policies are followed by department personnel.
  • Submit FIXIT work orders.
  • Serve as the Property Custodian with annual inventory.
  • Proactively identify process improvement opportunities.

This position is Monday-Friday 8am-5pm to provide office coverage during business hours.

Preferences
  • Candidates who are detailed oriented.
  • Experience with People Soft Finance and university financials: including but not limited to vouchers.
  • Experience in higher education.
  • Demonstrates a warm, approachable, and professional demeanor when interacting with students, guests, and colleagues and serving as a friendly first point of contact.
Qualifications

Experience will be considered in lieu of education.
