The Program Manager is responsible for overseeing the planning, development, and daily operations of AJ Residence’s non–center based day program services for adults with disabilities, including Community Coaching, Community Engagement, and After-School programs.
This role ensures that services are delivered in compliance with DBHDS and Medicaid standards, supports staff in providing high-quality, person-centered care, and works directly with families, guardians, and support coordinators to maintain continuity of care and achieve positive outcomes. The Program Manager will also support business development by cultivating relationships with referral sources and assisting management in expanding enrollment and program growth.
ProgramDevelopment & Oversight
- Lead and manage Community Coaching, Community Engagement, and After-School programming.
- Develop structured schedules and activity calendars tailored to participant needs and ISP goals.
- Coordinate new referrals, admissions, and service authorizations.
- Ensure programs align with person-centered practices and DBHDS expectations.
- Review and approve service notes, Part V plans, and quarterly progress reports.
- Monitor documentation for Medicaid and DBHDS compliance.
- Maintain readiness for audits, site reviews, and inspections.
- Review, track, and investigate incident reports across all community service programs.
- Conduct quarterly risk management reviews and implement corrective actions.
- Train staff on risk prevention, client rights, and safety procedures.
- Supervise DSPs and program staff working in Community Coaching, CE, and After-School services.
- Provide training and mentorship to ensure consistent quality.
- Assist in hiring, onboarding, and scheduling staff for community programs.
- Assist management with documentation review and administrative tasks across all AJ Residence programs, including the group homes and center-based day support.
- Serve as the primary point of contact for families and guardians enrolled in community services.
- Coordinate with support coordinators regarding service planning, authorizations, and progress reporting.
- Represent AJ Residence in community partnerships, school collaborations, and stakeholder meetings.
- Bachelor’s degree in Human Services, Special Education, Health Administration, or related field.
- Minimum 3 years of supervisory experience in Community Coaching, Community Engagement, or Day Support.
- Direct experience supporting individuals with /DD in community-based programs.
- Strong understanding of DBHDS licensing, Medicaid Waiver services, and HCBS requirements.
- Master’s degree in Human Services, Education, or related field.
- Prior experience as a Program Manager or Administrator in /DD services.
- Specialized training in behavior support, crisis intervention, or risk management.
- Ability to plan, prioritize, and oversee multiple programs simultaneously.
- Strong leadership and staff development skills.
- Knowledge of ISP development and person-centered planning.
- Excellent verbal and written communication skills.
- Skilled in compliance monitoring, documentation review, and audit readiness.
