We are seeking a detail-oriented and client-focused Intake Specialist to serve as the first point of contact for prospective clients in a residential construction defect practice. This role plays a key part in evaluating potential claims by gathering detailed information about construction issues, damages, and project history, while providing professional and compassionate client service.
Key Responsibilities- Serve as the initial point of contact for prospective clients via phone, email, and online inquiries
- Regularly Conduct intake interviews to gather detailed information regarding potential residential construction defect claims
- Identify key facts including property type, construction or renovation timeline, builder or contractor involvement, nature of alleged defects, and resulting damages
- Collect, review, and organize preliminary documentation such as contracts, warranties, inspection reports, photographs, repair estimates, and correspondence
- Accurately enter intake information into the firm’s case management system
- Perform conflict checks and coordinate attorney review of potential matters
- Communicate clearly with prospective clients regarding the intake process, next steps, and general expectations
- Follow up with potential clients to obtain missing information or documentation
- Assist attorneys and legal staff with additional information requests during case evaluation
- Maintain confidentiality and comply with firm intake procedures
- Prior experience in legal intake, client services, or administrative support
- Strong verbal and written communication skills with a client-focused approach
- Excellent organizational skills and attention to detail
- Ability to manage multiple intakes and deadlines simultaneously
- Proficiency with Microsoft Office and case management or CRM systems
- Professional demeanor and ability to handle sensitive information discreetly
- Experience with residential construction defect, real estate, or civil litigation matters
- Familiarity with residential construction terminology and common defect issues (e.g., water intrusion, structural concerns, workmanship defects)
- Experience reviewing construction-related documents and photographs
- Bilingual abilities (if applicable to firm needs)
- Fast-paced, client-facing role
- Requires empathy, patience, and clear communication with homeowners
- Ability to work independently while collaborating with attorneys and staff
