Summary

The Office of Faculty Affairs & Faculty Development is seeking a Faculty Affairs Senior Coordinator. In this role, you will provide essential administrative and functional support for faculty employment processes—from job postings to orientation scheduling—and manage faculty appointments and promotions. You will serve as a key liaison to academic units, communicating daily with colleagues to resolve issues, ensure compliance, and educate departments on policies and procedures.

This position is located onsite in the Texas Medical Center.

Job Duties
  • Assists with processing faculty appointment and promotion paperwork.
  • Communicates with departmental contacts, resolving faculty appointment- and employment-related issues.
  • Maintains the faculty database that generates requested internal and external reports.
  • Ensures program activities to meet applicable accreditation requirements regarding faculty matters.
  • Provides key support in all functions related to faculty employment. Assists with generating, reviewing, distributing, tracking, and archiving faculty appointment letters.
  • Provides administrative support in the Position Control process.
  • Assists in posting faculty positions and following through to the end of the hiring process.
  • Works closely with colleagues in Human Resources including Compensation, Records, Employment, Employee Relations, and International Services.
  • Maintains a thorough working knowledge of college policies and procedures related to Faculty Affairs and related areas.
  • Interprets and communicates BCM policy.
  • Provides administrative support to faculty and staff to assure continuity of operations.
  • Assists manager or head of the organizational unit in establishing and attaining goals and objectives.
  • Oversees the preparation, filing, and maintenance of correspondence and other records.
  • Makes copies, prints, scans, faxes, and distributes materials as needed.
  • Interacts closely with faculty and departmental leadership on a daily basis.
  • Develops and maintains an integrated web platform for the Office of Faculty Affairs/Faculty Development.
  • Coordinates the triage and reporting faculty complaints, exit interviews, ethics point reports.
  • Coordinates faculty grievance and appeals processes, performs administrative duties for the Faculty Appeals Committee.
  • Coordinates new faculty orientations.
  • Prepares reports for accreditation readiness.
  • Prepares faculty development, faculty career advancement and awards reports.
  • Assists with the day-to-day operations of the Office of Faculty Affairs/Faculty Development.
  • Adheres to the highest degree of professional standards and maintains a strict and high level of confidentiality in matters that require discretion.
  • Performs other job-related duties as assigned.
Minimum Qualifications
  • High School diploma or GED.
  • Four years of relevant experience.
Preferred Qualifications
  • Communicate effectively, both orally and in writing.
  • Proficiency in Microsoft Office 365, with emphasis on Excel, Word, and Outlook.
  • Experience in SAP/Success Factors.
