The Sr. Payroll Coordinator at Loomis is responsible for performing a variety of complex administrative, technical, and professional work in the payroll module and in partnership with the HRIS team. The Sr. Payroll Coordinator facilitates and supports the payroll team with the end-to-end payroll process, following all Federal, State, District, and local laws, company policies, and procedures in association with payroll processes, as well as processing payroll for assigned locations.
The Sr. Payroll Coordinator supports the creation of documentation and system updates needed for all associated processes, computes wages, and takes the lead to investigate any payroll issues or discrepancies. This role is located in our Houston, TX Corporate office and reports to the Payroll Supervisor.
- Performs and provides supervision of all activities necessary to support the payroll team’s processing of biweekly and weekly pay cycles.
- Manages payroll workflow to ensure all payroll transactions are processed accurately and timely.
- Assists in the training and education of payroll coordinators in partnership with the Payroll Supervisor.
- Audit payroll entries and processes of team members for checks and balances.
- Responsible for the maintenance of electronic filing systems and purging of payroll records according to established department procedures.
- Identifies areas of opportunity to improve existing processes, functionality, and workflow, and maximizes technological capabilities to reduce manual processes and improve data management and efficiency.
- Processes biweekly payroll and all payroll-related transactions for the assigned locations of the organization.
- Calculate and input salary adjustments, coding, timesheet corrections, and other modifications as needed.
- Reconcile the outstanding list of payroll checks, as needed.
- Reconcile payroll State and Local taxation, and YTD adjustments.
- Prepare reports for the verification process and balancing between the WFM and Payroll module for time and attendance accuracy.
- Process special payroll transactions such as corrections, bonus pay, replacements, final paychecks, and retroactive pay as appropriate.
- Set up both statutory and voluntary deductions for direct deposits, tax with holdings, certificated and classified union dues, and other assigned deductions.
- Responsible for weekly/biweekly/monthly/quarterly reporting on Payroll activity.
- Process wage assignments, garnishments, and other withholding orders as directed by the court or taxing authorities.
- Prepares relevant management reports, including weekly, monthly, quarterly, and year-end reports.
• Communicate with branch management personnel and HR partners to resolve escalated payroll issues, researching information and explaining various policies, procedures, and regulations and requirements affecting pay.
• Respond to employee requests for clarification on pay, deductions, and adjustments.
• Other duties as assigned.
