The Project Coordinator supports successful planning, execution, and close‑out of Instrumentation & Electrical (I&E) projects. This role is essential in ensuring all project documentation, scheduling, procurement, and communications flow efficiently between clients, field teams, vendors, and internal departments. Ideal candidates will have prior experience in industrial or oil & gas settings and be comfortable navigating the fast‑paced demands of field‑based construction projects.
Key Responsibilities- Assist Project Managers with day‑to‑day project administration, coordination, and documentation.
- Maintain and update project schedules, submittals, RFIs, and change orders.
- Track and monitor material procurement, deliveries, and vendor submittals.
- Coordinate with field supervisors, electricians, and instrumentation techs to ensure project needs are being met.
- Communicate with clients, vendors, and subcontractors to confirm requirements, clarify expectations, and provide project updates.
- Help ensure compliance with client‑specific requirements, safety standards, and quality documentation.
- Prepare and distribute internal and client‑facing project status reports.
- Assist with project closeout activities, including turnover packages and punch list tracking.
- 2+ years of project coordination or administrative experience in the industrial or construction field; I&E or oil & gas experience strongly preferred.
- Working knowledge of construction processes, terminology, and project life cycles.
- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with project software such as Procore, MS Project, or Smartsheet a plus.
- Excellent organizational skills and ability to manage multiple tasks with competing deadlines.
- Clear written and verbal communication skills.
- Self‑starter with the ability to take initiative, work independently, and collaborate in a team environment.
- Experience supporting projects in refineries, pipeline terminals, chemical plants, or fabrication shops.
- Knowledge of I&E materials, codes, and drawings (P&IDs, wiring diagrams, instrument lists, etc.)
- Primarily office‑based with occasional job site visits as needed.
- May be required to wear PPE during field visits.
- Must be able to adapt quickly to shifting project priorities and client demands.
- Some overtime or travel may be necessary depending on project schedules.
