Admissions Coordinator - Part-Time
The Part-Time Admissions Coordinator is responsible for assisting prospective families through the admissions process from inquiry to enrollment. This role provides administrative support, maintains accurate records, facilitates communication, and collaborates with school leadership to promote a positive and mission-centered experience for new and returning families.
Key Responsibilities Prospective Family Engagement- Serve as the first point of contact for prospective families via phone, email, and in-person interactions.
- Provide comprehensive information about school programs, Catholic identity, requirements, and campus life.
- Schedule and conduct campus tours and coordinate shadow days for prospective students.
- Manage and track applications, enrollment documents, and required records (transcripts, recommendations, assessments).
- Guide families through the admissions portal and troubleshoot application challenges.
- Communicate admissions decisions, next steps, and timelines to families in a welcoming and supportive manner.
- Maintain digital and physical student files in compliance with school and archdiocesan guidelines.
- Assist with organizing admissions events (open houses, information sessions, community fairs).
- Coordinate placement testing and assessment days with academic leadership.
- Prepare admissions reports and enrollment data for the Principal and Advancement/Development office.
- Support outreach efforts to parishes, early childhood programs, and community organizations.
- Help maintain and update admissions-related content on the school website and social media channels.
- Assist in developing marketing materials that reflect Catholic values and school tradition.
- Maintain confidentiality and follow all Archdiocese of Galveston-Houston Safe Environment requirements.
- Complete annual Safe Haven training as required for all Catholic school personnel.
- Ensure all admissions practices reflect equity, hospitality, and Catholic identity.
- Experience in Catholic school or nonprofit administrative work.
- Bilingual (English/Spanish) strongly preferred.
- Previous experience with admissions, marketing, or customer-service-focused roles.
