POSITION OVERVIEW

Serve as a subject matter expert in the Aftermarket Department systems and initiate resolution on administrative processes and procedures. Demonstrate proficient TAS business and financial acumen. Help associates initiate personal development and accomplish their goals within the Aftermarket Department. Participate in the interview process and administer business standard onboarding procedures. Assist the Director of Aftermarket Services in the job functions below with any additional responsibilities that may be assigned.

KEY

JOB RESPONSIBILITIES
  • Coordinate planning and billing of all service work: warranty, project support and service jobs
  • Develop productivity tools for Field Engineers to improve site reporting and project history
  • Confirmation of job closure requirements and indication of billing requirements to Accounts Receivable within a suitable period of time to secure revenue
  • Tracking and quality assurance of all service related information, such as time sheet and daily report submittal, to ensure all appropriate records are maintained within TAS
  • Coordinate Visa and Passport information for traveling Field Engineers, interfacing and communicating with Legal and HR when necessary
  • Coordinate site safety and security compliance training and screening for Field Engineers
  • Maintain on‑call list and implement notification for field personnel
  • Coordinate some travel arrangements when support is required
  • Answering customer questions regarding the organization’s products or services and its operation or maintenance
  • Taking service inquiry calls from customers or clients and, along with the Director, Aftermarket Services, dispatching the suitable customer service associate to address
  • Act as first point of contact for customer service, assessing needs and escalating appropriately
  • Maintain the schedule of planned and anticipated field service needs to ensure gaps are identified as soon as possible and clients needs are met in a timely manner
  • Opening and closing Service Jobs in LN
  • Participate in interviews for new Field Engineers
  • Lead all onboarding and new associate training for new Field Engineers
  • Develop and implement efficient administrative processes and procedures
  • Streamline workflows to enhance productivity
  • Ensure compliance with organizational policies and relevant regulations
  • Contribute to the development and updating of departmental policies and procedures
  • Ensure adherence to established policies and procedures
JOB SKILLS
  • Excellent communication, organizational and time management skills
  • Must be self‑motivated and have ability to handle multiple and shifting priorities
  • Ability to work independently
  • Proficient in MS Office, MS Project, and database usage
EDUCATION & TRAINING
  • Associate degree in business administration or accounting program desired
  • A substitution of military leadership and/or work experience will be considered in lieu of an Associate degree
MINIMUM REQUIREMENTS
  • 3‑5 years in the parts distribution industry
  • 7 years experience in office administration
PREFERRED REQUIREMENTS
  • 7 years experience in providing support for field service support staff
PHYSICAL REQUIREMENTS /WORK ENVIRONMENT

Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing, and performing repetitive motions.

Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal, and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
