The Vendor Relations Coordinator is responsible for managing all aspects of company travel logistics, including hotel accommodation, car rentals, and related vendor contracts. This role ensures cost-effective travel solutions, compliance with company policies, and high-quality service delivery for all employees and business units.
Key Responsibilities- Vendor & Contract Administration:
- Evaluate and manage contracts for all vendors.
- Conduct regular performance reviews and ensure service-level agreement (SLA) compliance.
- Coordinate with the finance and procurement teams for contract renewals and budget alignment.
- Track spending, identify savings opportunities, and generate cost analysis reports.
- Negotiate corporate rates and contracts with partners.
- Maintain a database of preferred vendors and ensure consistent quality and value.
- Oversee booking processes for employee and guest stays, ensuring alignment with policies.
- Resolve billing or service issues with hotels promptly.
- Car Rentals & Ground Transportation:
- Establish and manage relationships with car rental agencies and transportation vendors.
- Negotiate contracts and monitor compliance with agreed-upon terms and pricing.
- Support development and enforcement of corporate travel policies and procedures.
- Provide guidance to employees on approved vendors and booking practices.
- Monitor compliance and identify areas for improvement.
- Reporting & Analysis:
- Prepare regular reports on travel spending, vendor performance, and utilization trends.
- Identify opportunities to optimize travel programs and reduce costs.
- Bachelor’s degree in Business Administration, Hospitality Management, or a related field (or equivalent experience).
- Minimum 5 years of experience in corporate travel management, vendor relations, or procurement.
- Strong negotiation and contract management skills.
- Excellent communication, organizational, and problem-solving abilities.
- Proficiency with travel management systems and Microsoft Office Suite (Excel, Word, Outlook).
- Knowledge of travel and expense management tools (e.g., Concur, Egencia, SAP Travel) preferred.
