SummaryA Service Order Administrator is a detail‑oriented professional who manages the full lifecycle of service orders, from entry to delivery and issue resolution. This role requires collaboration across various internal teams (Service Coordinators, Service Manager, Support Team, warehouse staff) and external vendors to ensure accuracy and meet tight deadlines.
Responsibilities- Works with Service Coordinators and Service Manager
- Order Entry of Service Orders
- Ensures accurate and timely service order entry & preliminary processing along with document control for shipments
- Works with Support Team to meet required deliveries.
- Serve as primary FFP contact order status questions.
- Managing purchase orders, expedites to meet service deadlines for specialty service parts
- Working with warehouse staff to ensure service jobs are being staged/shipped timely
- Communicating special requirements about incoming shipments
- Maintaining cordial working relationships with vendors & supervising vendor activities & Internal and External FFP teams
- Arranging LTL/SPECIAL shipment pertaining to Service/Repair projects
- UPS/Fed Ex Entry Cross-training/Redwood Logistics
- Liaison for freight discrepancy issues pertaining to service jobs
- Warranty issues, short shipments, etc.
- Detailed-oriented
- Prophet 21 or Epicor experience preferred (ERP system)
- Heavy Microsoft office use (Word, Excel, Outlook)
- Salesforce knowledge preferred
- Highly flexible, team player, motivated, dependable
