About The Role

Northvale Village
, a senior housing community, is seeking a friendly, organized, and customer-service–focused Receptionist
. As the first point of contact for residents, visitors, vendors, and staff, the Receptionist plays a key role in supporting daily community operations and maintaining a warm, professional front desk environment.

Key Responsibilities Front Desk & Customer Service
  • Welcome and assist residents, visitors, guests, and vendors with professionalism and courtesy.
  • Answer, screen, and route incoming calls promptly and accurately.
  • Maintain a warm and welcoming lobby atmosphere at all times.
  • Ensure resident interactions are handled with patience, respect, and exceptional customer service.
Administrative Support
  • Perform office tasks including copying, faxing, mailing, scanning, and filing.
  • Assist in preparing Annual Recertification packets for the Occupancy Department.
  • Create, post, and distribute memos, notices, and rent receipts to residents.
  • Maintain and update resident databases in Excel and Real Page One Site.
  • Order and track office supplies; keep the supply/storage area organized.
  • Submit and track Reasonable Accommodation Requests, ensuring accurate documentation.
  • Manage resident FOB key assignments and maintain a current tracking log.
Maintenance Coordination
  • Enter daily maintenance service requests in One Site and assign tasks to maintenance staff.
  • Track and close work orders once completed.
  • Assist with scheduling vendors such as pest control, elevators, grounds, and other routine services.
  • Monitor building alarm indicators and coordinate responses with the Building Manager.
Resident Engagement & Events
  • Assist residents with signing up for the online Active Building rent payment portal.
  • Update resident bulletin boards monthly with current notices, safety information, and event flyers.
Security Support
  • Monitor lobby activity, security cameras, and parking areas; report unauthorized vehicles.
  • Listen for fire alarms and emergency pull cords; respond promptly and notify on‑site staff.
  • Help maintain a safe and secure environment for residents and guests.
Physical Requirements
  • Ability to sit, stand, and walk for extended periods.
  • Ability to lift or move office supplies and equipment up to 25 pounds.
  • Occasional local travel may be required for errands or community‑related tasks.
Qualifications Required
  • High school diploma or equivalent.
  • Proficiency in Microsoft Word and Excel.
  • Strong interpersonal skills; must be patient, friendly, and professional.
  • Ability to multitask and remain calm in a fast‑paced environment.
  • Excellent organizational skills and strong attention to detail.
Preferred
  • Previous receptionist or office experience, especially in senior housing or property management.
  • Experience with Real Page One Site is highly desirable.
Compensation

Actual base salary considers several factors including but not limited to geography, job‑related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required.

The role is considered non‑exempt (Full‑Time, 20 Hours/Week) so will be eligible for overtime pay in accordance with federal and state law. The anticipated base pay range for the position is $16.00- $16.00 per hour.
