Job Description

A project coordinator assists project managers by managing schedules, expense reporting on tickets, facilitating communication, and tracking project progress to ensure deadlines and budgets are met. Key responsibilities include organizing meetings, maintaining project documentation and reports, tracking budgets and risks, and serving as a liaison between team members and stakeholders.

Duties & Responsibilities
  • Administrative and organizational support: Manage project plans, schedules, collect sub-contractor packing slips and invoices. This includes preparing for meetings, taking detailed notes, and documenting action items.
  • Communication and liaison: Serve as a key point of contact between team members and the project manager. They communicate project updates, timeline changes, and important information to all relevant parties.
  • Progress and risk tracking: Monitor project progress against the timeline, identify and report on potential risks or issues, and ensure the project stays on track.
  • Documentation and reporting: Create and maintain all project-related documents, status reports, and other necessary materials.
  • Resource and task management: Help with assigning tasks, coordinating team members to ensure workflow, and ordering necessary supplies or materials. Back up to other departments on an as needed basis (ex. Organic service, Procurement, Project Managers, etc.)
  • Budget and financial monitoring: Track project expenses – ensure ticket/job numbers are on all company credit card charges, monitor the budget and revisions, change orders, and assist with over under billing financial-related tasks. Assists in maintaining accurate and up-to-date revenue across projects ensuring timely and accurate financial updates.
  • Additional Functions: Performs all other duties assigned.
  • Organization: Ability to manage multiple tasks, schedules, and priorities effectively.
  • Communication: Strong written and verbal skills to communicate clearly with team members and stakeholders.
  • Attention to detail: Meticulous in tracking project details, deadlines, and documentation.
  • Problem-solving: Proactive in identifying and helping to resolve issues or risks.
  • Technical proficiency: Experience with project management software and standard office applications.
Physical Demands
  • Physical demands consistent with typical office environment
  • Ability to lift up to 50 lbs., and assist in lifting up to 100 lbs.
  • 10% travel to client/construction sites in all weather
Education

Skills & Experience
  • 3 to 5 years’ experience in a similar role - Security Industry preferred.
  • Knowledge of SOV, AIA Billing and MSAs a plus
