The Office Manager, Diagnostic Operations provides high-level administrative and operational leadership for the Vice President of Diagnostic Operations and the Diagnostic Imaging Administrative Office. This role requires exceptional judgment, professionalism, confidentiality, and the ability to independently manage complex operational priorities.

The Office Manager serves as a trusted partner to senior leadership-overseeing administrative functions, coordinating divisional activities, managing staff performance, assisting with project management, and supporting space planning initiatives across the division.

Key Responsibilities Administrative & Project Management
  • Serve as the primary administrative partner to the Vice President of Diagnostic Operations, managing day-to-day office operations.
  • Independently evaluate and prioritize requests for the Vice President, ensuring timely follow-through and policy compliance.
  • Review and prepare documents requiring executive signature or distribution.
  • Utilize advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) to produce high-quality materials.
  • Coordinate division-wide events (employee recognition, retirements, meetings) including logistics, catering, and communications.
  • Maintain strong written, verbal, organizational, and interpersonal communication skills in all interactions.
People Leadership
  • Supervise administrative support staff, providing coaching, feedback, onboarding, and performance management.
  • Lead monthly team meetings, conduct performance evaluations, and manage scheduling, issues, and workflow.
  • Promote a service-focused culture through strong leadership, mentorship, and consistent communication.
  • Address personnel matters including conflict resolution and adherence to institutional policies and procedures.
  • Collaborate with clinical managers to ensure quality and consistency of administrative support services.
Facilities & Office Operations
  • Manage office inventory, including annual property audits with the department property officer.
  • Coordinate office relocations, including furniture, phones, equipment, and IT needs.
  • Serve as liaison to information systems for hardware, software, and security support.
