We are seeking an Administrative Assistant, reporting to the Interim CEO, to play a crucial role in ensuring the smooth and efficient operation of the executive office by providing comprehensive administrative support to dynamic and diverse cross functional leaders in manufacturing, EH&S, procurement, supply chain, commercial, finance, IT and HR.
As a team member, this role is key in the overall success of the team in performing a wide variety of duties to help the teams be more efficient and effective. This role will manage calendars, coordinate meetings, handle travel arrangements, manage office supplies, and work on special projects. Ultimately, this position supports the overall success of the organization by enabling seamless administrative processes and fostering effective collaboration across departments.
What You'll Do
- Manage and maintain team calendars, scheduling appointments and coordinating meetings to ensure optimal time management
- Work on special projects to improve workspace, conference room use and audio
- Responsible for office/cube assignments as the team expands
- Arrange travel plans, including booking flights, accommodation, and transportation, while preparing detailed itineraries
- Perform general clerical duties such as filing, data entry, photocopying, and managing office supplies to support daily office functions
- Maintain accurate records and documentation, ensuring confidentiality and easy retrieval of information when needed
- Coordinate meeting logistics, including room reservations, equipment setup, and distribution of meeting materials, ordering meals for business meetings
- Serve as a point of contact for internal and external communications, fostering positive relationships with clients, vendors, and staff
- Work effectively in both individual and team settings with minimal supervision
- Work full time in an office setting, Monday - Friday
Required
- High School diploma or equivalent
- 3-5 years of proven experience in an administrative or office support role, preferably within a corporate or professional environment
- 3+ years of experience with travel booking platforms and expense reporting software (Expensify)
- 3+ years of experience in Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint) and calendar management software
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
- Familiarity with records management systems and office equipment maintenance
- Ability to work independently and as part of a team in a fast-paced environment
- Excellent verbal and written communication skills
- Excellent typing skills
