The Department of Health Services Research conducts the highest quality health services research with the ultimate aims of optimizing health care delivery and improving outcomes for the prevention and treatment of cancer.

The primary purpose of the Grant Program Coordinator position is to provide administrative support for the departmental pre and post award activities, reporting and analysis of financial management data, and coordination and facilitation of clinical research program. Requires the ability to establish priorities, manage multiple tasks and complete work assignments and on time.

Ideal candidates will have experience preparing NIH Biosketches and possess knowledge of funding sources. Prior experience with financial management, budgeting, and expense reconciliation is a plus.

Minimum salary is $68,500, midpoint $85,500 and maximum $102,500

The typical work schedule is onsite at least once a week and as business needs.

Responsibilities Pre & Post Award Administrative Support
  • Assist with project proposals for submission to the Office of Research Administration or Office of Sponsored Programs
  • Create, coordinate, and review applications with Grant Program Manager to ensure quality and compliance
  • Mentor and develop others in the grant program process
  • Ensure accuracy and compliance of all grants with sponsor regulations and institutional policy
  • Meet with Principal Investigators and Grant Program Manager to review and evaluate research plans
  • Prepare all grant-related reports and respond to agency requests for information
  • Coordinate and submit invoices for grant funding with Grants and Contracts
  • Attend Grants Administrative Meetings and other research-related meetings
Financial Management Support
  • Perform monthly reconciliation for all department accounts, including expenditures, salary, and fringe
  • Maintain department FACT table and confirm attributes for new account requests
  • Monitor and advise on fund reallocations and expense transfers
  • Review expenditures and account balances for department chart field strings
  • Review expense reimbursement reports prior to submission
  • Collaborate on aging reports for invoicing and payments
  • Submit STAT samples monthly and monitor open PO activity
  • Initiate requests to inactivate chart field strings
  • Attend monthly financial reviews with faculty to discuss post‑award management and upcoming submissions
Special Projects & Other Duties
  • Develop and determine priorities for special projects and monitor status
  • Perform other duties as assigned
EDUCATION
  • Required:

    Bachelor's Degree
  • Preferred:
    Master's Degree
WORK EXPERIENCE
  • Required:

    Three years extensive administrative experience. Or one year extensive administrative experience required with Master's degree.
  • Preferred:
    Must have experience with preparing NIH Biosketches. Prior experience with finance, budgeting, and reconciliation expenses is a plus.
  • May substitute required education degree with additional years of equivalent experience on a one to one year basis.
