PRIMARY PURPOSE
:

The Clerk – Payroll (Building Operations/Maintenance) under the general supervision of the Director
-Operations will be responsible for maintaining accurate payroll information, monitoring and verifying employee’s timesheets, resolving missed punches and recording absences for Maintenance and Operations staff in the timekeeping system in accordance with district policy and the payroll schedule. Clerk – Payroll (Building Operations/Maintenance) will be responsible for providing guidance and resources to employee payroll related inquires and questions.

Qualifications

Required
:

  • High School graduate or GED
  • Must be able to communicate effectively in English
  • 2 yrs payroll related experience
Preferred
  • 3+ years payroll related experience
  • 2 years of Timekeeping experience
  • 2 years previous experience in a payroll department
Special Knowledge/Skills
  • Skills to operate standard office equipment including use of computer applications; highly accurate calculations and data entry as required.
  • Able to communicate effectively in English, in writing and verbally.
  • Knowledge of filing procedures,
  • Knowledge of 10-key calculator.
  • Knowledge of E-Finance Financial Software
  • Knowledge of Time Clock Plus timekeeping system
  • Familiar with payroll procedures
  • Professional demeanor at all times
Major Responsibilities and Duties
  • Monitor and update employee’s time and absences in Time Clock Plus and AESOP to ensure accurate and timely processing of employees’ paychecks.
  • Meet all payroll due dates for submitting payroll batches.
  • Ensure proper Time Clock Plus coding for employees that are assigned to 260 and 240 calendars. This includes verifying clock in and clock out compliance, accuracy of work hours, and entering absences for employees.
  • Utilize the appropriate payroll forms to record payroll transactions including but not limited to a missed punch form, request to earn/use compensatory time forms and extra duty/supplemental pay forms.
  • Ensure all payroll forms have the appropriate signatures then route to the payroll department.
  • Attend all trainings hosted by the Finance or HR departments regarding pay and payroll processing.
  • Coordinate with the department secretary and human resources to track employees who are out on leave, and complete the appropriate notice of absences forms when applicable.
  • Assist employees with providing resources and guidance in understanding their paychecks.
  • Maintain personnel information for purposes of providing an up-to-date reference and audit trail for compliance for payroll.
  • Prepare various reports for the purpose of providing written support and/or conveying information.
  • Assist in other areas as directed by the Operations Director.
Working Conditions

The usual and customary methods of performing this job require the following: ability to work in a fast-paced, high-intensity work environment efficiently and effectively with frequent interruptions. Job may require prolonged periods of time sitting, reaching and repetitive hand motions; prolonged use of computer. Overtime is required as necessary.
