Executive Administrative Assistant
Location:
Houston, TX

Hours:
20-24 hours per week, schedule coordinator with the reporting manager
Hybrid
Schedule:
Monday and Friday is WFH, Tuesday thru Thursday is in the office.
No expenses unless approved travel for a company meeting or event. This would be less than 10% if needed at all.

This resource will support at the executive level. They must have excellent communication skills (verbal/written), excellent attention to detail skills, pro active, experience with C suite interfacing.
Essential Job Functions
• Prepare and provide documents, reports and information for the SMT Member in an expedient and efficient manner.
• Respond to inquiries made by researching inquiries, interpreting policy and making appropriate decisions based on company policy and issuing directions to employees as needed.
• Draft and produce documents for review by Senior Management.
• Track external and internal documents requiring Senior Management review or signature and follow-up to assure documents are executed in a timely manner.
• Screen mail and email messages for priority. Organize according to content, importance and destination.
• Handle confidential material related to company policy and development; and disseminate information with appropriate discretion.
• Work as liaison between SMT member and staff to achieve maximum company performance and address items as needed.
• Set meetings, correlate schedules, develop agendas, coordinate logistics and refreshments if appropriate. Coordinate weekly staff meeting and prepare minutes for review.
• Correlate all action items, goals and objectives generated itor progress of action items identified by the SMT member and follow up to conclusion issuing status reports as appropriate.
• Prepare periodic reports/presentations for the Board of Directors.
• Cover for other Executive Assistants and provide back-up support to other Executive Assistants when requested.
• Support Senior Management Team with various requests and projects.
Education/Certifications
• High School diploma or equivalent
• Associates Degree/some college preferred
Experience/Minimum Requirements
• Seven (7) or more years of senior management or executive office experience or equivalent education and experience
Other Skills/Abilities
• Expert knowledge of office procedures
• Excellent PC skills - MS Office including Excel and Smartsheets
• Ability to maintain highly confidential records and information
• Highly organized
• Ability to act independently
• Proactive approach to assignments and procedures
• Ability to respond to inquiries in a 24 hour environment
• Flexibility in prioritizing assignments
