The Office Coordinator plays a key role in ensuring smooth daily office operations while supporting leadership and operations teams. This position oversees office engagement initiatives, coordinates events, supports compliance activities, and provides comprehensive administrative assistance. The ideal candidate is highly organized, proactive, and able to manage multiple priorities in a fast‑paced environment.
Work ScheduleThis is a hybrid role based in Houston. For the first few months, the individual will be required to work onsite five days per week, then can transition to a hybrid schedule. Periodic travel to a Freeport operational base is required.
Key Responsibilities- Oversee daily office operations including facilities coordination, building access, supplies, and guest hospitality
- Provide administrative support including calendar management, travel coordination, expense reporting, and invoice processing
- Plan and execute customer events, industry events, social gatherings, and team‑building activities
- Lead corporate social responsibility initiatives and office engagement efforts
- Manage office vendors and support health and safety compliance
- Coordinate drug and alcohol compliance processes and maintain accurate records
- Support offshore team travel logistics and rotation schedules
- Assist with operational reporting, compliance tracking, training documentation, and audit preparation
- Provide HR administrative support including onboarding, offboarding, and policy documentation
- Assist with special projects as assigned
- 3+ years of office administration experience
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills
- Ability to build relationships with internal and external stakeholders
- High level of integrity and discretion with confidential information
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint)
- Strong event planning and coordination experience
- Adaptable and solutions-oriented in a dynamic environment
