Under the general supervision of the Captain, the Administrative Assistant II performs advanced administrative support duties and other responsibilities as assigned.

Duties and Responsibilities
  • Performs administrative support duties and other assigned general responsibilities by coordinating and organizing assignments.
  • Answers phones and provides information to other HCSO Divisions, Bureaus, Internal and External Offices.
  • Schedules meetings and prepares agendas when necessary.
  • Maintains Bureau Files.
  • Assists with Travel and Training planning and coordination.
  • Prepares non-routine letters and/or reports, which may be sensitive.
  • Provides assistance to resolve administrative issues.
  • Process payroll.
  • Exercises discretionary authority and has constant access to confidential, sensitive, and private information.
  • Providing direct administrative support to Detention Bureau command staff, including coordination of schedules, correspondence, payroll-related documentation, and confidential personnel records.
  • Perform other duties and assignments as required and/or necessary.

  • Associate’s degree in business administration or a closely related field from an accredited college or university attached to the application.
  • Four (4) years of professional administrative support experience in an office environment.
    • An equivalent combination of relevant education and experience will be considered.
  • Must pass the  Administrative Staff Skill test  with a minimum overall score of 80% and a typing speed of 40 WPM with 85% accuracy.
  • Highly proficient in the use of Microsoft Office Suite.
  • Demonstrate the ability to be a self-starter, work well independently, and as a team to meet objectives.
  • Excellent time management and organizational skills, able to meet deadlines.
  • Effective communicator (both verbal and written).
Ability to
  • Learn new software and become proficient shortly after training.
  • Utilize discretion, protect, and maintain confidential information.
  • Exemplify a professional image at all times.
  • Interact with staff, other agencies, employees, and the public in a knowledgeable, effective, proficient, and professional manner.
  • Demonstrated excellent attendance and the ability to work overtime and/or varying hours as operationally required.
Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

This role is sedentary; however, the ability to lift and carry up to 10 pounds is required to move files and/or boxes of documents, etc.

Position Type and Typical Hours of Work

This is a full-time position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary based on the department's business needs.
