Lead Administrative Assistant / Office Manager – Houston, TX

We’re looking for a proactive, resourceful, and collaborative Office Administrator to support our executive team and lead our office operations. Proficiency with Quick Books, Big Time, MS Office (Word, Excel, Outlook, PowerPoint, Teams), and Adobe Acrobat Pro is required. If you enjoy variety, love taking ownership, and thrive in a small-team environment, this is the role for you.

What You’ll Do
  • Lead Administrative Support:
    Support the executive team directly and oversee one existing Administrative Assistant
  • Accounting & Timekeeping:
    Manage client invoicing, bookkeeping, and weekly time tracking using Quick Books and Big Time
  • Office Operations:
    Maintain office accounts, pay bills, manage supplies, swag, and store inventory, and ensure day-to-day office operations run smoothly
  • Document & Presentation Creation:
    Build accurate, visually engaging presentations and reports using MS Office (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat Pro
  • HR & Payroll Support:
    Assist with payroll setup, office safety programs, and general HR tasks for staff
  • Vendor & Contractor Oversight:
    Manage IT, copier, cleaning, and building service providers
  • Social Media & Branding:
    Improve Linked In and other social platforms for recruiting and marketing
  • Team Engagement:
    Plan and coordinate team events, meetings, and celebrations to foster a fun, collaborative culture
  • File & Records Management:
    Keep digital and physical files organized, accessible, and accurate
What You Bring
  • 5+ years of administrative and office management experience
  • Proactive, self-motivated, solution-oriented, and able to handle multiple priorities
  • Strong organizational, time-management, and problem-solving skills
  • Collaborative, approachable, and professional with a can-do attitude
  • Experience supporting executives or senior leadership
