Job DescriptionWe are recruiting a Document Controller to join our Dublin office. The role will be based on site for three days per week, with the remaining two days worked remotely.
Here’s what you’ll doThe Document Controller will support the programme team with all document storage, sharing, and document control protocols. You will coordinate programme documentation and act as the first point of contact for documentation-related queries. Working with the programme team, you will support the implementation of programme control tools, manage document management systems, and provide general administrative support.
- Populate and maintain the document register, RFI register, action log, issue log, and other project control tools.
- Analyse, interpret, and summarise the status of project registers and logs, providing clear information to the project team.
- Generate and issue weekly status and overdue reports relating to project documentation, actions, issues, and other project-related information.
- Ensure appropriate issuance, receipt, and storage of documents in accordance with the project document control procedures.
- Interface with external document suppliers, including consultants and contractors, and ensure compliance with the controls set by the Contracting Entity.
- Enforce, maintain, and continuously improve a robust project filing and document management system.
- Actively identify and propose improvements to document control and filing processes.
- Support Quality Assurance, Quality Control, and Health and Safety processes by participating in internal and external audits.
- Provide general administrative support, including photocopying, filing, document collation, and data entry.
- Monitor and track runway developments at major airports worldwide and produce a monthly summary report.
- Maintain the external stakeholder database, including data input and report production.
- Prepare inputs for monthly executive reports and coordinate contributions for collation by the Project Director.
- Track and monitor office supply inventory and support reordering as required.
- Extensive experience in document control, ideally within aviation or large infrastructure programmes.
- Familiarity with platforms such as Procore, Autodesk Construction Cloud (Docs), and Aconex, ensuring accurate document control, version management, and compliance with project procedures.
- Familiarity with pre-construction programming and multi-disciplinary project environments.
