Administrative Assistant – Houston, TX

We are seeking a reliable and detail-oriented Administrative Assistant to support daily administrative and operational activities in our Houston office. This role plays a key part in ensuring smooth internal processes, effective documentation management, and professional coordination with clients, vendors, and internal teams.

This position is ideal for someone highly organized, proactive, and comfortable handling multiple administrative priorities in a fast-paced office environment.

What you’ll do
  • Provide day-to-day administrative and office support to ensure efficient operations
  • Manage incoming calls, emails, and general correspondence
  • Coordinate schedules, meetings, travel arrangements, and internal logistics
  • Organize and maintain physical and digital documentation
  • Prepare reports, presentations, and meeting minutes
  • Support billing, collections, and payment-related processes as required
  • Manage office supplies, vendor coordination, purchases, and inventory
  • Assist visitors, clients, and external partners when needed
  • Collaborate with internal teams to support cross-functional administrative needs
  • Ensure compliance with U.S. administrative and documentation requirements
What we’re looking for
  • High School diploma required;
    Associate’s or Bachelor’s degree preferred
  • 2–3 years of experience in administrative or office support roles
  • Fluent English required;
    Spanish preferred
  • Strong proficiency in MS Office (Word, Excel, Outlook)
  • Familiarity with office management tools and digital filing systems
  • Strong organizational, communication, and time-management skills
  • High level of discretion, confidentiality, and attention to detail
  • Proactive, service-oriented mindset with strong problem-solving skills
