The Receptionist is the first point of contact for our corporate office and plays a critical role in creating a hospitable and professional environment that reflects Pappas’ mission. This position is responsible for greeting every visitor as a welcomed guest, managing front desk operations, and supporting smooth day-to-day communication within the office. The ideal candidate embodies friendliness, professionalism, and a service-first mindset consistent with how we care for guests in our restaurants.
EssentialJob Duties And Responsibilities
- Warmly greets all guests, visitors, and team members as they enter the corporate office, creating a positive and welcoming first impression.
- Promptly answers and manages a multi-line phone system, directing calls to the appropriate person or department in a courteous and professional manner.
- Takes accurate messages and ensures timely delivery to office team members.
- Announces and escorts guests as needed and ensures visitors follow office sign-in procedures.
- Maintains front desk organization, cleanliness, and overall presentation.
- Updates and maintains internal contact lists, phone extensions, and office directories.
- Coordinates courier and delivery services, including scheduling pickups and tracking courier documentation for submission to accounting.
- Receives, sorts, and distributes mail and packages.
- Supports general front office administrative tasks as assigned.
- Assists with special projects or additional reception-related duties as business needs require.
- Minimum 3+ years of experience in a receptionist, front desk, administrative, customer service, or hospitality-focused role
- Positive, patient, and professional demeanor with a strong guest-service mindset
- Ability to efficiently operate a multi-line phone system
- Exceptional verbal and written communication skills
- Ability to communicate clearly, confidently, and courteously with guests and team members
- Strong attention to detail and organizational skills
- Ability to prioritize tasks, meet deadlines, and work with a sense of urgency
- Ability to maintain confidentiality and professionalism at all times
- Strong multitasking and time management skills
- Proficient in Microsoft Word, Excel, Outlook, and Adobe
- Ability to work independently while collaborating effectively with a team
- Bilingual preferred
- Physical requirements are the ability to perform a manual data input function for up to 50% of an 8-hour day on regular basis.
- This position requires a focused, self-starter with the ability to multi-task and work in a fast-paced environment.
- Must be able to work well under pressure with good organizational and project management skills.
