Responsibilities
- Minimum 3–5 years of experience as an Administrative or Executive Assistant preferred.
- Fully bilingual in Spanish and English.
- Knowledge of secretarial and office administrative procedures and standard office equipment (1–3+ years experience).
- Proficiency with word processing, spreadsheets, databases, and presentation software.
- High-level interpersonal skills to handle sensitive and confidential situations with tact and diplomacy.
- Analytical ability to gather and summarize data, solve administrative problems, and prioritize tasks.
- Strong attention to detail in composing, typing and meeting deadlines.
- Ability and initiative to work extra hours as projects and deadlines dictate.
- KEY
COMPETENCIES:
Provides administrative support to our CEO and Leadership Team of Dol Fin Tech including a high level of secretarial support. - Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
- May perform desktop publishing. Creating and developing visual presentations for the CEO or other leadership members.
- Organizes and prioritizes large volumes of information and calls.
- Sorts, distributes and opens mail for the CEO. Drafts written responses or replies by phone or e-mail when necessary and responds to regular occurring requests for information.
- Answers email and telephone for CEO(s). Takes messages or fields/answers all routine and non-routine questions.
- Act as a liaison with other departments and outside agencies, including high-level staff such as Investors, Presidents, Senior Vice Presidents and Chiefs. Handles confidential and non-routine information.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the CEO, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings and creating brochures.
- Types, designs and translating general correspondences, memos, charts, tables, graphs, business plans, etc.
- Supports Financial Department in maintenance of the department finances. Activities include copying check requests and sending to Accounts Payable, travel reimbursement and documenting corporate credit card expenses to corporate finance.
