Administrative Assistant

Job Summary:

We are seeking a dedicated and organized Administrative Assistant to join our dynamic team. The ideal candidate will be a proactive problem-solver with exceptional communication skills and meticulous attention to detail. As an Administrative Assistant, you will provide vital support to ensure the smooth operation of our office, enabling our team to function effectively and efficiently.

Key Responsibilities:

  • Manage and organize the daily schedule, including setting appointments, meetings, and reminders to ensure efficient time management.
  • Serve as the primary point of contact for internal and external communications, including answering phone calls, emails, and handling inquiries professionally.
  • Prepare, format, and edit documents, reports, and presentations ensuring accuracy and quality.
  • Assist in coordinating office events, meetings, and travel arrangements, including logistics and documentation.
  • Maintain an organized filing system, both digital and hard copy, for easy retrieval of information.
  • Order and manage office supplies inventory to ensure operational needs are met.
  • Support other departments with clerical duties as needed, contributing to a collaborative team environment.
  • Develop and maintain administrative processes to improve efficiency and workflow.

Qualifications:

  • Proven experience as an Administrative Assistant or in a related role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Strong organizational skills with the ability to prioritize tasks and multitask effectively.
  • Excellent verbal and written communication skills.
  • High level of attention to detail and accuracy.
  • Ability to work independently as well as part of a team.
  • Strong interpersonal skills and a positive, professional demeanor.
Preferred Qualifications
  • Experience in the signage industry is a plus.
  • Familiarity with virtual meeting platforms and remote collaboration tools is advantageous – job is 100% onsite – Monday thru Friday 8:00 am to 5:00 pm.
