Role DescriptionProvide administrative and clerical support to the estimating team to ensure accurate, timely bid preparation and project documentation. Responsibilities include preparing bid documents, applying for bid bonds, compiling monthly estimates, creating invoices/proposals/change orders, attending pre-bid meetings, tracking addenda, submitting bids, and documenting bid results. The role requires strong organization, attention to detail, reliable communication skills, and the ability to work under bid deadlines.
Qualifications- High school diploma or equivalent; associate degree or coursework in construction, business, or related field preferred
- 1+ years administrative or clerical experience; construction/estimating office experience a plus
- Strong computer skills; proficient in Microsoft Excel, Word, Outlook, and Power Point
- Experience with PDF markup/management tools (e.g., Bluebeam, Adobe Acrobat)
- Familiarity with bid submission portals and basic office printers/plotters/scanners
- Comfortable using estimating or project management software (training provided if needed)
- Strong typing speed and accurate data entry skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple deadlines and prioritize tasks in a fast-paced environment
- Good written and verbal communication skills; professional phone/email manner
- Reliable, punctual, and able to maintain confidentiality of bid/proposal information
- Basic math and record-keeping skills; ability to prepare simple spreadsheets and summaries
- Willingness to attend pre-bid meetings as needed and take clear meeting notes
- Ability to work independently under direction of the estimator and collaboratively with the team
- Prepare and assemble complete bid packages (forms, attachments, schedules) per bid requirements
- Apply for and track bid bonds and other required financial instruments
- Compile and prepare monthly estimate summaries and supporting documentation for the estimating team
- Create and format invoices, proposals, and change order documents for review and submission
- Attend pre-bid and pre-proposal meetings; take and distribute clear meeting notes and action items
- Monitor and log addenda and clarifications; update bid documents and communicate changes to the team
- Submit bids through required portals, mail, or delivery methods and confirm receipt when possible
- Maintain a bid calendar and ensure all deadlines are met; coordinate internal review and sign-off workflows
- Document bid results, including awarded/declined status, pricing, and lessons learned; maintain bid history records
- Manage and organize digital and physical bid files, drawings, specifications, and correspondence
- Prepare periodic reports on bid activity, statuses, and outcomes for management review
- Support post-bid follow-up tasks (e.g., clarification requests, documentation for award) as directed by the estimator
- Ensure confidentiality and proper filing of sensitive bid and proposal information
• Working hours 8am- 5PM Monday-Friday
• Pay dependent on experience $15-$25 Hr
• Health, vision and dental care offered, company will cover 50/50
