West Oaks Hospital has provided psychiatric care to the Houston area and surrounding communities for over four decades. Our 176-bed acute care facility is fully accredited and included a 16-bed residential treatment center for adult chemical dependency.
We offer a broad range of behavioral health programs for children, adolescents and adults. Treatment is offered at multiple levels of care including inpatient, partial hospitalization and intensive outpatient. We are available 24 hours a day, seven days a week to assist you and answer your questions about treatment options and insurance coverage. The hospital is easily accessible off the Southwest Freeway near the Galleria.

West Oaks Hospital is seeking a dynamic and talented full-time Executive Assistant to join our team of compassionate, dedicated professionals. The Executive Assistant will provide executive administrative support to the Chief Executive Officer and Medical Director. A large component in this role is high-level proficiency in Microsoft Outlook applications, including Outlook calendaring, excel, publisher, contract coordination and administrative meeting documentation. They present good communication and observation skills as well as the ability to accurately process and document information.
The Executive Assistant will be responsible for credentialing physicians and physician assistants. Managing provider on-call schedule and all facility contracts. Prepares and develop social media content under the guidance of the CEO or designee. Facilitate Service Excellence New Employee Orientation training.
Job Duties /Responsibilities:
* Provide secretarial/administrative support for the CEO and Medical Director. Coordinate and submit reports as requested to the corporate office including:
Monthly Report, Time and Attendance, Expense Reports, etc., for the CEO and Medical Director as needed. Maintain an ongoing calendar and schedule appointments for the CEO. Coordinate and provide routine correspondence as needed for the hospital CEO and Medical Director. Assures the proper operation of all hospital equipment.
* Attend, record, compose, and execute committee meeting minutes and agendas when requested.
* Prepare letter of agreements, physician contracts and other service provides contracts as needed.
* Coordinate conference events, selection of dietary menus, and location arrangements.
* Organize, establish and maintain various files and records. Maintain control files of matters in progress and follow-up to ensure swift resolutions.
* Answer all in-coming calls for the Administration Department and sort/review all administrative departmental in-coming mail.
* Performs other duties as assigned.
