The Travel Coordinator is responsible for managing end-to-end domestic and international travel arrangements for VIPs and senior leadership in a fast-paced, global environment. This role oversees complex multi-city itineraries using Sabre, including ticketing, exchanges, reissues, and last-minute changes, while ensuring accuracy, efficiency, and traveler satisfaction.
The Travel Coordinator ensures compliance with corporate travel policies, airline fare rules, visa and passport requirements, and country-specific entry regulations. Acting as a trusted point of contact, the role delivers discreet, high-touch service across multiple time zones, proactively resolving travel disruptions, controlling costs, and ensuring seamless travel experiences from planning through completion.
Duties and Responsibilities- Coordinates complete domestic and international travel for employees, VIPs, and senior leadership, including air, hotel, ground transportation, and special travel requests.
- Serve as the primary point of contact for executives and VIP travelers, delivering high-level travel support with discretion and professionalism.
- Utilize Sabre at an expert level to create, modify, reissue, exchange, and refund complex multi-city and international itineraries.
- Manage last-minute and after-hours travel changes, disruptions, and emergency situations across multiple time zones.
- Ensure compliance with company travel policies while advising travelers on cost-effective routes and fare options.
- Maintain deep knowledge of international fares, airline rules, ticketing requirements, and country-specific travel regulations.
- Coordinate visa, passport, LOI, and entry requirements in partnership with immigration and visa service providers.
- Liaise with airlines, hotels, travel management companies, and internal stakeholders to resolve issues and secure priority accommodations.
- Track and reconcile travel documentation, ticket numbers, credits, and unused tickets to maximize value and reduce waste.
- Maintain accurate traveler profiles, preferences, and special needs within Sabre and corporate travel systems.
- Provide guidance and training to less experienced coordinators on best practices, international travel planning, and system usage.
- Uphold confidentiality and data privacy standards when handling executive and sensitive travel information.
- Track and manage travel expenses, ensuring adherence to company policies and budget constraints.
- Assist employees with using the online travel tool.
- Considerable professional experience as a Travel Agent or Travel Coordinator supporting domestic and international travel.
- Proficiency in Sabre, including complex international bookings, exchanges, reissues, refunds, and multi‑city itineraries.
- Demonstrated expertise in international airfares, airline rules, ticketing requirements, and fare construction.
- Strong knowledge of passports, visas, LOI’s, and country‑specific entry requirements for global travel.
- Proven experience supporting VIP travelers and senior leadership with a high level of discretion and professionalism.
- Ability to manage high‑volume travel requests in fast‑paced, time‑sensitive environments.
- Strong communication and customer service skills with a solution‑oriented mindset.
- High attention to detail and accuracy in booking, documentation, and traveler records.
- Ability to work independently while collaborating effectively with internal stakeholders, airlines, and travel vendors.
- Proficient in Microsoft Office and corporate travel systems.
- Commitment to confidentiality and data privacy when handling sensitive traveler and executive information.
- Bachelor’s degree or equivalent combination of education and experience.
- 3–7+ years of experience coordinating domestic and international travel.
- Proven experience supporting executives, and VIPs.
- Experience in a fast‑paced, high‑volume corporate environment.
