Overview
Location: Downtown Houston
Parking: Responsible for own parking - lot available approximately 2 blocks away (around $5/day)
Pay: Up to $39.81/hour
Schedule: 100% In-Office - Monday-Friday, 8:00 AM-5:00 PM (little to no overtime)
JOB DESCRIPTION Basic FunctionProvides comprehensive administrative support to Attorneys and the Office of the General Counsel. Performs duties in a safe, efficient manner and in compliance with applicable rules and procedures.
Responsibilities andSpecific Duties
- Maintains strict confidentiality of all legal matters handled by the department
- Logs incoming lawsuits, charging instruments, and other legal requests; maintains tracking systems for case intake, closures, and monthly statistics
- Composes and types legal documents, correspondence, memoranda, letters, forms, and reports
- Opens, screens, processes, and distributes mail; answers, screens, and directs telephone calls; orders office materials and supplies; performs general administrative duties, including electronic filings with court clerk offices
- Maintains attorney calendars, tracking deadlines outlined in Docket Control Orders, depositions, court hearings, and trial dates
- Communicates with courthouse staff, outside counsel, and other administrative entities as needed
- Coordinates attorney appointments, meetings, and calendars
- Organizes and maintains electronic case files within the firm?s network drive and legal case management system
- Performs electronic filing of legal documents with courts and administrative agencies
- Reviews invoices and billing statements and processes them for payment or reimbursement
- Serves as a designated records coordinator in accordance with the Legal Department File Plan
- Maintains record retention schedules and monitors compliance; coordinates timely document destruction and logging per retention guidelines
- Assists with department projects, including supporting Paralegals with trial notebook preparation and related trial documents
- Communicates with internal departments and external entities regarding legal and administrative matters
- Provides excellent customer service to internal and external stakeholders
- Promotes safety awareness and follows established safety procedures
- Performs other job-related duties as assigned
High school diploma or GED required
Years & Experience RequiredMinimum of seven (7) years of general secretarial experience, including at least four (4) years supporting litigation matters. Experience in a legal or personal injury environment is preferred.
Knowledge & Skills Required- Strong proficiency with personal computers and Microsoft Office, including Excel, Word, and Outlook calendaring
- Working knowledge of legal terminology and general office procedures
- Excellent written and verbal communication skills
- Writing sample required (brief professional letter or memo; sensitive or privileged information may be redacted)
