This is a contract-to-hire opportunity
We are seeking a highly motivated and detail-oriented individual to join our team as an Administrative Assistant. The successful candidate will support daily office operations with a wide range of administrative and clerical tasks. Assisting with documentation and coordination, and ensuring efficient and smooth office operations.
Responsibilities:
- Provide general administrative support, including office inventory, records maintenance, administrative expense tracking, meeting scheduling, etc.
- Coordinate communications, including drafting and responding to emails, announcements, and notices.
- Maintain office correspondence, including updating directories, sorting, and distributing daily communications.
- Book travel arrangements and prepare travel itineraries and accommodations.
- Support employee onboarding and offboarding logistics, and maintain employee parking, access, and asset records.
- Maintain office operating procedures to improve efficiency.
- Assist with planning and coordination of company events and activities.
- Order office supplies and inventory management.
- Assist with expense tracking, invoice processing, and basic reporting.
- Prepare and order business cards.
- Maintain and manage company vehicles.
- Foster positive relationships with the building management team, vendors, and coordinate service requests.
- Serve as a backup to other administrative staff when needed.
- Other duties as assigned.
- Associate's or Bachelor's degree preferred.
- 1-3 years of administrative assistant experience.
- Bilingual in English and Mandarin Chinese is preferred.
- Strong organizational skills.
- Professional demeanor and appearance.
- Strong attention to detail and ability to prioritize in a fast-paced environment.
- Proficient in Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Team player who enjoys working collaboratively.
- Exceptional interpersonal and time management skills.
