Executive Assistant

Direct Hire; up to 100K + bonuses (big earning potential)

Downtown Houston – full in office

Duties:
  • Interact across stakeholders at all levels, demonstrating proactive approach and execute a wide range of complex and confidential administrative, personal, and operational tasks
  • Manage complex calendar and schedule for CEO and VP of HR
  • Schedule meetings and appointments; act as ‘gatekeeper’; greet visitors
  • Prioritize, plan, coordinate, and oversee logistics (AV, hotel, flights, catering, etc.) for on-/off-site meetings
  • Assist CEO and MDs with communication, file management, invoice management/tracking, creating and updating forms, filing agreements, and creating spreadsheets/PowerPoint presentations
  • Maintain office supplies/business cards; coordinate resolution of IT and tech issues
  • Maintain strict confidentiality and discretion of highly sensitive, personal, and financial matters
  • Interface with external customers, business partners and prospects; act as liaison and face of CEO
  • Book travel arrangements, create itineraries, and support expense reporting process
  • Prepare management reports
Qualifications:
  • College degree and Notary Public designation preferred
  • 10+ years of executive-level office experience; outstanding administrative/organizational skills
  • Advanced Word, Excel, PowerPoint, and Outlook and Adobe; SAP or iManage preferred
  • Professionalism, flexibility, discretion, judgment, diplomacy, and tact
  • Highly resourceful with strong emotional intelligence, self-motivation, and strong analytical skills
  • Maintain composure and handle complex problems in stressful conditions
  • Collaborative approach, team spirit, and positive demeanor
  • Highly strategic, facilitative, focused, and flexible; willing to play an active, behind-the-scenes role; communication excellence – written and verbal
  • Lifelong learner and commitment to continuing education, networking, and enhancing tech skills
