We are seeking a highly organized and proactive Ownership Services Specialist to join our team. This individual will serve as a central coordinator and project manager across a wide range of personal and professional domains, ensuring seamless execution of household, staffing, and executive-related initiatives. Responsibilities include, but are not limited:
Family Office Operations- Act as a quarterback for general family office services and projects, ensuring smooth communication and task execution
- Coordinate across internal and external stakeholders to maintain operational excellence
- Oversee and manage family service providers, including household staff, property management, security, travel, and other family service needs as they arise
- Ensure high level of performance from family service providers
- Assist in resolving family service provider performance issues
- Liaise with vendors, contractors, and service providers to ensure timely and high-quality execution of various services
- Assist with onboarding and management of household staff
- Coordinate with external agencies and internal HR for staffing needs, as well as payroll and HR management of household staff
- Work closely with the CEO’s executive assistant to align scheduling, travel, and logistics
- Provide backup support for calendar management, appointments, and personal errands
Minimum Requirements include:
- High school diploma or equivalent from an accredited institution;
Bachelor’s degree preferred - 5+ years of experience in office management, hospitality, executive support, or similar roles
- Proven ability to manage multiple projects and priorities with precision
- Exceptional organizational and communication skills
