JOB SUMMARY
The Assistant Office Manager 3 will take on a strategic role in overseeing and managing the administrative functions of the office. The Assistant Office Manager 3 will be a professional with extensive experience in office management and a strong ability to lead and mentor a team. The Assistant Office Manager 3 will collaborate closely with the Office Manager and executive leadership to drive operational excellence and enhance the overall efficiency of the office.
MAJOR DUTIES & RESPONSIBILITIES

1. Supports all aspects of School Choice office operations, ensuring adherence
to District policies and procedures, and assisting families in the parent center
with navigation of the school choice process.
2. Implement strategies to optimize School Choice office productivity and
streamline administrative processes.
3. Provide guidance to the administrative staff, fostering a positive and
collaborative work environment within the School Choice office.
4. Collaborate with School Choice Office Manager and department leaders to
assess School Choice Office needs, anticipate potential challenges, and
implement effective solutions
MAJOR DUTIES & RESPONSIBILITIES CONTINUED
5. Conduct regular assessments of office systems, workflows, and procedures,
identifying areas for improvement and implementing changes as necessary.
6. Foster strong relationships with internal and external stakeholders,
representing the office and company in a professional manner.
7. Other duties as assigned.
EDUCATION
High School Diploma or GED
WORK EXPERIENCE
1-3 years proven experience in an administrative role, preferably in an office setting.
SKILL AND/OR REQUIRED LICENSING/CERTIFICATION
Proficient in using office software (e.g., Microsoft Office Suite, SAP, HTML, email, calendar management).
Office equipment (e.g., computer, copier)
LEADERSHIP RESPONSIBILITIES
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training to staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.
BUDGET AUTHORITY
Participates in a group plan and/or budget development.
PROBLEM SOLVING
Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures or services.
IMPACT OF DECISIONS
Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.
COMMUNICATION/INTERACTIONS
Information sharing - gives and receives information such as options, technical direction, instructions, and reporting results. Interactions are mostly with customers, own supervisor, and coworkers in own and other departments.
CUSTOMER RELATIONSHIPS
Takes routine or required customer actions to meet customer needs. Responds promptly and accurately to customer complaints, inquires and requests for information and coordinates appropriate follow-up. May handle escalated issues passed on from coworkers or subordinates.
WORKING/ENVIRONMENTAL CONDITIONS
Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.
Bending and Stooping:
Bending body downward and forward by bending spine at waist.
Climbing:
Ascending or descending ladders or stairs using feet and legs and/or hands and arms. Body agility is emphasized.
Light Carrying/Lifting:
Physical transporting, raising items from a lower to higher position, or moving objects horizontally weighing less than 15 pounds from one location to another.
Moderate Carrying/Lifting:
Physically transporting, raising items from a lower to higher position, or moving objects horizontally weighing 15 to 44 pounds from one location to another.
