PositionSummary
The Front Desk Receptionist is the first point of contact for Bio Urja and is responsible for greeting visitors and making them feel welcome. This position also supports the Executive Assistant with administrative duties to ensure smooth office functioning. The ideal candidate has experience providing a wide range of office support and reports directly to the Executive Assistant. The role is in-office daily, with assigned work hours Monday‑Friday, 8:00 am‑5:00 pm.
Responsibilities- Provide reliable and efficient reception coverage, maintaining a tidy and organized reception area.
- Handle inquiries and provide basic information about the organization.
- Create a welcoming experience for staff, guests, and visitors.
- Make travel arrangements and manage conference‑room Outlook calendar.
- Handle expense reporting, mail packages, coordinate meetings, and perform miscellaneous errands.
- Ensure administrative tasks are completed with a high degree of organization and confidentiality.
- Manage office supplies and snack inventory.
- Keep office spaces clean, presentable, and fully stocked with refreshments and snacks.
- Coordinate, organize, and set up office lunches, events, and catering for meetings.
- liaise with building management for smooth operation, maintenance requests, and necessary repairs.
- Assist with personal errands for executive management.
- Maintain strict confidentiality of business and personal information.
- Pay high attention to detail and anticipate needs.
- Willingness to learn other duties as assigned.
- High School Diploma, GED, or equivalent.
- Prompt and reliable attendance.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Teams).
- Ability to exercise a high degree of confidentiality and professionalism.
- Experience with travel arrangements and event coordination is a plus.
- Thoughtful decision‑making, problem‑solving, and creative thinking skills are a must.
