Billing Administrative Assistant – Kirby
Thermo King of Houston is hiring a Billing Administrative Assistant at 772 McCarty Street, Houston, TX 77029. The role supplies administrative support services to a manager, professional group, or organizational department. Perform basic administrative tasks and projects of a lesser complexity under direct supervision, relying on established guidelines and detailed direction. Tasks will familiarize the employee with the programs and policies of the company.
Responsibilities- Identify and review qualified invoices for portal distribution.
- Submit invoices to related client portals and confirm status.
- Identify errors and upload failures and communicate issues with assigned analyst via email and update the FIS system.
- Action corrected invoices accordingly when notified by internal staff.
- Perform word‑processing duties, including typing reports, correspondence, and memoranda.
- Proofread all prepared documents for spelling and typographical errors.
- Prepare and produce routine and basic reports as assigned, following direction for format layout and ensuring reports are distributed to all required individuals.
- Create basic documents, graphics, and charts for routine projects using word processing, spreadsheet, and graphics software.
- Receive, screen, and direct telephone calls from employees and external customers; take and record telephone messages.
- Answer caller questions or refer callers to the appropriate person, and follow up with callers on information requests.
- Establish and maintain filing systems for confidential files and records, routinely filing all documents.
- Ability to perform work accurately and thoroughly.
- Organized, following a systematic method of performing tasks.
- Ability to build relationships effectively with customers and co‑workers.
- Clear and concise written communication skills.
- Effective verbal communication skills.
High School Graduate or General Education Degree (GED) and one to two years of related experience.
Skills & AbilitiesProficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
