Billing and A/R Position Summary

We are seeking a detail-oriented and proactive Accountant to join our growing company. This role is primarily responsible for managing the full accounts receivable cycle and construction billing processes to ensure accurate invoicing and consistent cash flow across multiple regions and a high volume of projects. As the company continues to expand, the role will have the opportunity to take on increased accounting responsibilities, including job cost analysis, profit and loss management, and financial reporting support.

The ideal candidate has experience in construction accounting, understands progress billing and retainage, is comfortable working in a fast-paced environment, and can effectively manage competing deadlines.

Key Responsibilities Accounts Receivable & Construction Billing
  • Manage the full-cycle accounts receivable process for multiple commercial projects
  • Setup projects in accounting system, process insurance program enrollments, and manage certificates of insurance (COIs)
  • Prepare and submit customer invoices, including progress billing, AIA billing, time & materials billing, Change order billing
  • Record revenue in the accounting system
  • Review contracts to understand billing schedules, retainage terms, and compliance requirements
  • Track retainage and ensure timely release and collection
  • Monitor aging reports and proactively follow up on outstanding balances
  • Communicate with general contractors, project managers, municipalities, and clients regarding payment status
  • Process incoming payments (check, ACH, etc.)
  • Reconcile customer accounts and resolve discrepancies
  • Maintain accurate customer records and contract documentation
  • Collaborate with operations to ensure billing aligns with job progress and approved change orders
  • Prepare and track conditional and unconditional billing lien waivers
  • Support compliance documentation required for payment applications
  • Assist with certified payroll reporting (if applicable)
  • Support project closeout documentation, including final billing and retainage recovery
General Accounting Support
  • Assist with month-end closing procedures
  • Conduct job cost analysis
  • Book adjusting journal entries as needed
  • Manage regional profit and loss statements
  • Update revenue forecasts
  • Assist with financial reporting
  • Provide backup support for accounts payable as needed
Qualifications
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
  • 2–5+ years of accounting experience, preferably in construction
  • Strong understanding of:
  • Progress billing and retainage
  • Construction contracts
  • Experience with accounting software (Quick Books, Sage, Foundation, or similar)
  • Proficiency in Microsoft Excel
  • Strong organizational skills and attention to detail
  • Demonstrated ability to identify, implement, and optimize process improvements
  • Ability to manage multiple projects and deadlines simultaneously
  • Interest in and willingness to leverage artificial intelligence technologies to enhance decision-making, streamline processes, and support innovative, data-driven solutions
  • Excellent communication skills for internal coordination and client follow-up
