Position SummaryThe Bookkeeper / Office Manager is responsible for maintaining accurate financial records, supporting cash flow visibility, and ensuring the administrative functions of the office run smoothly. This role works closely with company leadership and project managers to maintain financial clarity, accountability, and operational efficiency.
Key Responsibilities- Manage Accounts Payable and Accounts Receivable
- Process vendor payments and client invoicing
- Coordinate payroll processing
- Reconcile bank accounts and credit cards monthly
- Maintain organized and audit-ready financial records
- Track project-related expenses and job cost allocations
- Monitor and communicate cash flow trends
- Prepare financial reports for leadership review
- Assist CPA with year-end documentation and reporting
- Ensure compliance with tax filings and required financial documentation
- Proactively identify and resolve discrepancies
- Maintain organized digital and physical filing systems
- Track insurance certificates, W-9s, and licenses
- Coordinate vendor documentation and administrative needs
- Support internal communication between leadership and project managers
- Assist in maintaining internal workflows and systems
- Identify opportunities to improve administrative efficiency
- 3+ years of bookkeeping experience (construction or project-based accounting preferred)
- Strong understanding of AP/AR, reconciliations, and payroll coordination
- Proficiency with Quick Books, ADP, and Excel required
- Experience with Sightline and Procore
- Strong organizational and communication skills
- Ability to manage multiple deadlines independently
