The Vendor Maintenance Specialist is responsible for managing all activities related to vendor setup, maintenance, and compliance within a high‑volume Accounts Payable environment. This role ensures the accuracy, integrity, and completeness of vendor records while supporting internal teams and external suppliers. The Specialist plays a key part in maintaining efficient payment processes, adhering to SOX controls, and upholding departmental standards.
Responsibilities- Monitor Vendor Maintenance email box, responding promptly to various internal and vendor inquiries.
- Review and approve Coupa New Vendor Requests to ensure compliance with company requirements.
- Review W-9’s via Tin Check to validate tax information.
- Maintain vendor records to confirm account information on file is accurate.
- Review and reactivate deleted accounts after confirming accuracy of data.
- Assist vendors with Coupa Supplier Portal setup and related issues.
- Communicate with vendors to obtain required documentation for account updates.
- Set up vendors for ACH payments by validating banking details through a third‑party banking verification system and entering details into our secure vendor banking management system.
- Follow SOX controls and prepare monthly audit documentation.
- Provide backup support for the AP Inquiry email box when needed.
- Vendor Maintenance or Accounts Payable related role preferred but not required.
- Understanding of accounting principles, specifically with Accounts Payable.
- Strong organizational and time‑management skills with the ability to handle diverse tasks.
- Experience verifying banking information and handling sensitive data.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Team‑oriented mindset with strong interpersonal skills, while also able to work independently when needed.
- Detail oriented, with the ability to carry tasks through to completion.
- Ability to multitask and meet deadlines with a sense of urgency and accuracy.
- Excellent verbal and written communication skills.
- Problem‑solving skills with ability to identify discrepancies.
- Experience with Coupa and P21 preferred, but not required.
