Duties and Responsibilities
  • Serves as a Fiscal Specialist for Student Housing Services. Work assignments may include nights, weekends, and/or holidays, and at program locations at different campuses.
  • Assists with the preparation of procurement documents for goods, services, and equipment $14,999.99 or lower, and ensures compliance with University, State and applicable Federal regulations for Student Housing Services departments.
  • Assists with statistical studies, financial analyses, fiscal planning, the preparation of special reports, and the preparation of preliminary budget calculations.
  • Collects statistical data from existing files and records necessary for budget preparation, variance reports, periodic operational status reports, and responses to inquiries from other units within the University.
  • Prepares and reviews data in the University s Financial Accounting System.
  • Monitors and verifies accounting system reports of finances, and reconciles as necessary.
  • Assists with adjusting entries and preparing journal vouchers.
  • Assists with ensuring the completeness and accuracy of journal entries, general and subsidiary ledgers, and monthly operating statements, including expense schedules and inventory reports.
  • Assists in year-end closing and preparation of operating statement, balance sheets, and analytic reports.
  • Participates in the year-end adjusting and closing entries and coordinates the deadlines with the property management firm and the University s Property Manager.
  • Assists in preparation for and execution of year-end physical inventory.
  • Assists with ensuring that all payments and deposits of collections are made on a timely basis.
  • Assists with resolving disputed supplier claims by investigating, correcting delays in processing, and preparing necessary correspondence. Acts as liaison with the Disbursing Office and follows-up with departments.
  • Assists with the processing of salary over payment notices, forms, and payments.
  • Assists with the reconciliations of daily sales receipts and purchasing card transactions.
  • Trains and supervises employees and student assistants.
  • Other duties as assigned.
Minimum Qualifications
  • Possession of a baccalaureate degree in Business Administration, Accounting, Finance, Public Administration or related field and 1 year(s) of progressively responsible professional experience with responsibilities for accounting and/or finance; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Functional knowledge of principles, practices and techniques in the area of accounting and/or finance demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with accounting and/or finance.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of accounting and/or finance.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Ability to work after normal business hours, including nights, weekends and/or holidays.
