Salary Range: Secretary II, SR‑14: $4,054.00 per month
Responsibilities- Greets visitors, answers telephone calls, and refers staff based on knowledge of the organization.
- Takes messages and schedules appointments for the supervisor.
- Receives, sorts, and forwards incoming mail; prepares routine acknowledgments and replies.
- Establishes and maintains subject, alphabetical, and chronological files; provides records when requested.
- Procures supplies, equipment, and maintenance services through agency channels.
- Consults reference books, manuals, and catalogs to locate required information.
- Assigns facilities, vehicles, and equipment to ensure efficient use.
- Relays oral messages and instructions to subordinates.
- Records debits, credits, costs, and charges in accounts as per operational procedures.
- Typescopy and prepares duplication stencils or master copies of documents.
- Dictates and transcribes general notes and minutes at meetings; may use shorthand or steno machine.
- Explains details of services, methods, or policies to inquiries.
- Reviews others’ work and corrects procedural or entry errors.
- Approves or recommends rejection of applications, claims, and requests following policy.
- May supervise clerical subordinates in performing complex clerical tasks.
- Experience Requirements:
- General clerical experience: 0.5 years of work demonstrating English grammar, spelling, arithmetic, and understanding of oral/written instructions.
- Specialized clerical experience: 2.0 years of progressive typing, stenographic, or substantive clerical work with knowledge of office equipment and procedures.
- Combined total experience: 2.5 years.
- Substitutions Allowed: Any combination of work experience and/or education that demonstrates comparable knowledge, skills, and abilities may satisfy a portion or all of the minimum qualification requirements.
- Substitution of Education for
Experience:- High‑school graduation with basic English and arithmetic courses may substitute six months of general clerical experience.
- One year of accredited community‑college, business, or technical training in business English, arithmetic, clerical procedures, and machines is deemed equivalent to one year of specialized clerical experience.
- Partial completion of the above curriculum may be substituted for specialized clerical experience on a month‑for‑month basis.
