Office Manager (Liliuonamoku)
Job Purpose
The Office Manager is responsible for overseeing the administrative operations of Liliʻuokalani Trust’s Liliʻuonamoku site, managing the front office reception area, coordinating facilities use and maintenance, directing business functions of the facilities, and supervising office staff to optimize efficiency.
Essential Responsibilities
- Manage the reception area to ensure effective telephone, mail communications and a professional image.
- Create a team atmosphere through leadership and development; supervise office administrative staff.
- Develop and maintain organizational procedures and systems for office operations, including filing, security, facilities, staffing, and computer software implementations.
- Administer the Liliʻuonamoku administrative operations budget, capital improvements, and expenditures; ensure compliance with agency policies.
- Maintain relationships with building management teams, vendors and service providers to address operations and maintenance needs.
- Supervise maintenance and alteration of office areas and equipment, layout, arrangement, and housekeeping.
- Coordinate with IT to ensure daily operations of system technologies are functioning.
- Manage all operations and reservations for LT condo units.
- Coordinate service/professional contract submittals and follow‑ups.
- Negotiate purchase of office supplies, furniture and equipment in accordance with purchasing policies.
- Arrange internal office moves and provide arrangements for office meetings and parking stall assignments.
- Participate in special projects as assigned by the Office Manager Lead and collaborate with other kīpuka leads.

Qualifications & Competencies
- Bachelor’s Degree or equivalent experience.
- Minimum 3‑5 years of experience managing an office.
- Strong management, administrative, organizational, interpersonal, verbal communication, writing and presentation skills.
- Proficiency in Word, Excel, and PowerPoint.
- Knowledge of community resources and services.
- Experience working with at‑risk youth and applying positive youth development principles.
- Ability to work well under pressure and remain calm in challenging situations.

Mental and Physical Demands
