Rental Coordinator at First Service Residential

Base Pay Range

$25.00/hr - $27.00/hr

Job Overview

As a Rental Coordinator, you’ll be responsible for providing a wide variety of administrative support services for property supervisors and working with team members to achieve daily tasks. You must master working knowledge of all First Service Residential systems as they are used regularly and collaborate with internal departments to ensure clients’ expectations are met.

This opportunity is available at our suburban corporate office in Hoffman Estates, IL.

Responsibilities
  • Generate, proof, save, and send general individual letters to association owners (non-violations).
  • Produce general letters for associations (non-violations), which may be sent via mail, email, or Mass Comm.
  • Create, proof, save, and send letters of non‑compliance or those including fines, potentially applying chargeback to the owner account.
  • Track census and COIs for associations paying the annual fee, sending monthly renewal and non‑compliance letters, and track rentals and leases.
  • Contact owners in person or by phone to answer questions about renting their unit.
  • Process incoming USPS mail and apply it to the owner’s account.
  • Assist with special projects approved and delegated by the supervisor.
  • Scan, email, and upload documents to Connect; also upload COI, info forms, and general leases.
  • Review any documents allowing changes for grammatical and brand standard errors before distribution.
Skills & Qualifications
  • Associate’s degree or higher in Business or a related field, or equivalent administrative experience.
  • Two to three years of administration or customer service experience.
  • Experience in property management, real estate, or residential management is a plus.
  • Proficiency in Windows and Microsoft Office (Outlook, Word, Excel, etc.).
  • Works effectively with coworkers, clients, customers, and others, sharing ideas constructively and addressing problems to find mutually acceptable solutions.
  • High energy attitude and ability to multitask and prioritize different projects simultaneously.
  • Superior oral and written communication skills.
