Under general supervision, the Office Assistant for Workforce Development shall be responsible to the Vice President for Workforce Development and supervised by the Executive Assistant to the Vice President for Workforce Development. The duties and responsibilities of the Office Assistant for Workforce Development shall be, but are not limited to the following:

Responsibilities
  • Serves as primary receptionist for Workforce Development; staffs front desks during normal business hours in both the Workforce Development Facility and the Industrial Training Center
    .
  • Greeting students, visitors, and the public; answers and routes telephone calls; provides accurate information regarding programs, enrollment, schedules, and services.
  • Triages students and visitors to the correct building, program, or staff member.
  • Provides professional, courteous, and responsive customer service in a high-traffic, multi-program environment.
  • Bilingual communication with students and community members is instrumental for translation and effective support.
  • Provides administrative support to Workforce Development personnel across multiple departments, including Transportation Safety, Continuing Education, Oil and Gas Technology, Automation & Industrial Systems, and Workforce Training programs.
  • Assists with enrollment processes, including collecting payments, contacting students, and supporting registration activities.
  • Assists with class and course creation, updates, and cancellations in Lumens for applicable programs.
  • Prepares, processes, and submits documents related to personnel, programs, course enrollment, special activities, and events.
  • Performs data entry, filing, copying, and document management to support departmental operations.
  • Assists the Coordinator of Facility Scheduling with indoor and outdoor signage, event setup, and equipment setup.
  • Supports facility readiness by assisting with building presentability, organization, and general upkeep across multiple buildings.
  • Delivers, picks up, and distributes mail for all Workforce Development departments.
  • Runs on-campus errands in support of daily operational needs.
  • Develops and maintains strong working relationships with Workforce Development staff, college departments, and the broader campus community.
  • Communicates effectively with students, instructors, coordinators, and administrators to support smooth daily operations.
  • Participates in professional development and continuous improvement activities.
  • Supports institutional goals and objectives aligned with the mission of the College.
  • Performs other duties as assigned to meet operational needs.
  • Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the standard of New Mexico Junior College.
Qualifications
  • Knowledge of office practices, procedures, and standard office equipment.
  • Proficiency with computers and Microsoft Office applications.
  • Strong customer service skills with the ability to interact effectively with the public and staff.
  • Bilingual (English/Spanish) preferred.
  • Good written and verbal communication skills.
  • Ability to manage multiple tasks in a fast-paced, public-facing environment.
